Privacy policy
Last updated 14 September 2026. Applies to the Distro counter software for Windows and the Distro field app for Android.
Distro is business software. Almost everything it holds is your own trading records, entered by you and your staff, and we hold it so that your counter and your salesmen's phones can work from the same books.
What the software holds
- Your trading records. Customers and suppliers (name, phone, address, GSTIN), items and stock, invoices, orders, payments, returns and expenses.
- Your staff. Employee name, phone number and employee code. PINs are stored only as a one-way hash — nobody at Distro, and nobody at your business, can read an employee's PIN back.
- Payment proof photographs. When a salesman records a collection by UPI or bank transfer, they may photograph the customer's payment confirmation screen. These images are stored for your reference.
- Device identity. A fingerprint of each counter PC, used to check the software against your licence.
Where it is stored
- On your own machines. The counter and each phone keep a full local copy, which is what lets them work with the internet unplugged.
- On our server, so the counter and the phones stay in step. Each distributor's records are separated from every other distributor's.
- Payment proof photographs are kept in object storage separate from the database, and are reachable only through short-lived links issued to a signed-in user of your own business.
Crash reports
When the software fails, it sends us a technical report so we can fix it. These reports carry which screen or sync step failed and the error involved. They are built to carry no business data: no customer names, no phone numbers, no GSTINs and no amounts. As a second line of defence, anything matching a phone number or a GSTIN is stripped before a report leaves the device.
What we do not do
- We do not sell, rent or share your records with anyone.
- There is no advertising in the software, and no advertising or tracking SDK in it.
- We do not use your trading records for any purpose other than running the service for you.
- Staff at Distro access your data only when you ask us to — to set the software up, or to investigate a fault you have reported.
Who the data belongs to
The records are yours. If you stop using Distro, you can ask us for an export and for the deletion of what we hold on our server; your own local copies remain on your machines and are yours to keep or delete. Write to [email protected].
Where your records include information about your customers, you are the one who decided to collect it and you remain responsible for it. We hold it on your behalf.
How long we keep it
Different things are kept for different lengths of time, because they are useful for different lengths of time.
- Your trading records stay on our server while your subscription is live, and for 90 days after it ends. Then we delete them permanently. Your own counter and phones keep their full local copy throughout — that copy is the record of your business, and deleting ours does not touch it. Ask us to delete sooner and we will, within 30 days.
- Payment proof photographs are deleted 12 months after the collection they belong to, whether or not your subscription is still live. The collection itself stays — the amount, the date, the customer and the salesman are part of your books. Only the picture goes.
- Crash reports are kept for 90 days.
- Your subscription record — which licences were issued, when, and what was paid — is kept for 8 years, because we have to keep our own accounts. It holds no trading data: no customers, no items, no invoices, no amounts owed to you.
Keeping your records for the six years GST requires is your own obligation, not ours, and your local copy is what meets it. We hold a copy so your counter and your phones stay in step, and we do not need to hold it any longer than that.
Governing law
This policy is governed by the laws of India, and disputes are subject to the exclusive jurisdiction of the courts in West Bengal. This matches clause 7 of the terms accepted inside the counter software; the two must always say the same thing.
